Focus: The focus of this public FAQ/Self Help guide is to provide you an overview and details about building Cliently flows with Tasks action.
What are Cliently Flows?: A flow is a list of items based upon “actions” that were added. For Example: Send email, wait 1 day, Send Video message, wait 2 days, Send postcard. (Per Action) Email, etc… Learn more about using Cliently flows by checking out our overview.
What is a Task Action? A Task action is an item you can add to your flow to designate an event that needs to take place to increase engagement, and must be manually performed and marked as complete in the system. You can add LinkedIn, Phone Call and Other tasks. Tasks can be added at any step in your flow. When the Task action is triggered, you will receive an in-app notification in your Tasks sidebar about the event. Please note: For all tasks, you must “complete” the task in the system in order for the next action in the flow to process.
Instant Action with Tasks - Please Note: With this action, you can also perform an “Instant Action” and send out a Tasks, WITHOUT adding to a flow. Click here to learn more.
Step 1: Reviewing a flow to that includes Task action. In our example below, a flow that has been created with a Email Action, Time Delay (2 days) and a Video Message action. We will be adding a “Task” action to the end of our flow.
Pro-Tip: You can click-hold using your mouse over the left side actions to move them up and down to modify the sequence of the actions.
Step 2: Flow Settings - Using the “Gear” icon to access the flow settings.
Step 2-A: “Stop Workflow if engagement” is made via: Phone Call. If you are using the Phone Call task, you can also enable this to stop the flow if you choose “Demo Booked” or “Not Interested” when completing the call. This is a great way to manage your tasks and flows for your contacts/leads.
Step 3: Adding a task action. Next, we have added the task action. Below are the different examples of “Tasks’ you can add.
Step 3-A: LinkedIn Tasks. With the LinkedIn Tasks, you can add them to your flow to “Connect” or “Message”. The Connect option provides you the opportunity to establish a connection with a potential prospect, while also allowing you to send a message to start the conversation. The Message option can be helpful in a case where you may want to start a conversation at a later date from the initial connect, return to the previous conversation at a later date, or perhaps open up dialogue for a different reason altogether.
Step 3-B: Phone Tasks. Phone tasks can be added and used to set up reminders to place a call to your contacts. This task can include a Call Subject, Goal of Call, Qualifiers, Scripts and Notes sections. This can give the caller important information regarding the call purpose and provide a helpful guideline for qualifying the lead and scripting what to say for both a call or for a voicemail.
Step 3-C: Other Tasks Other tasks can also be used to set up reminders and appointments. Options include: “Email, Meeting, Other”. This is a helpful tool to pause your flows until an email has been sent (typically outside of the flow cadence), a meeting has been booked, or a custom reminder has been completed. With all 3 options, you will have the ability to add notes that will be available upon the Task’s due date.
When adding tasks, always be sure to “Save” the action once it has been added to the flow.
Step 4: Completing Tasks If you have any Tasks that need to be completed, you will see a red notification next to the “Tasks” icon on the left side navigation.
You can complete the task(s) inside of the contact’s card, via the Task button to the right of their data.
