Focus: The focus of this public FAQ/Self help guide is to provide an overview and details about using Cliently Instant Actions.

What is a Cliently Instant Action?: An instant action is a simple and easy way to communicate with your existing Leads/Contacts in Cliently, found in My Clients - individual Contact cards. With Instant Actions, you can send an Email, Video Message, Postcard, Handwritten Note, Gift or setup a Task reminder in Cliently.  When the Instant Action is processed, it will be included your Leads/Contacts individual timeline. 

What steps can I do to make sure the Email and Video Messages emails are sent and delivered? - Email Address - In order for your contacts/leads to receive emails from you, make sure the email address is valid and correct.

What steps can I do to make sure the Postcard, Handwritten note and Gifts are Processed?  - Credits - Before creating your Instant Actions make sure you have enough credits. Cost of Credits for each Instant Action below:

Postcards - Credit Cost: 1 Credit for USA-United States Address, OR 2 Credits outside of the United States.

Handwritten Note  - Credit Cost: 5 Credits for each handwritten note to send.

Gifts - Credit Cost: Gift card denomination + 8 credits (for processing and shipping fees). We do not ship outside United States for Gifts.

What steps can I do to make sure the Postcard, Handwritten Note and GIFT is delivered? Contact’s Address – Before creating your Instant Actions for Postcards, Handwritten Note and Gifts, double check the physical address found on the contact record! Make sure there is a valid:  First Name, Last Name, Address (Line 1 and 2), City, State, and Country.

Step 1: Finding Instant Actions  First, lets go through on how to find and send an Instant Action. Open any of your contact/lead records in Cliently, scroll down and you will see a button called “Instant Action”.

Step 2: Choose an Action. Next, we will discuss each of the instant actions and how to use them. Please note: to access Postcard and Handwritten Note, click on “Direct Mail”.

Step 3: Email. Our first Instant Action, we can create an email to send out to the Lead/Contact.

Step 3-A: Fill out and personalize the Email to be sent.  Next, we have selected the Email action, now it’s time to customize it. Fill out the Subject and body of the message. You can use the CC/BCC field to add additional email address to be carbon copied to this email. You can use commas to separate email addresses.   Please note: you can use the editor found in the body of the message, to include BOLD, Italics, underline of your text, etc…

Pro-Tip: If you are creating “Hyperlinks” in the body of the messages, please be sure to include the http:// as part of the web address. Example: http://www.cliently.com  

Step 3-B: Completed and ready to send If you are ready to send the Email, Click the blue Button “Send”. 

Step 3-C: Review instant Actions on Global Timeline and My Client Timeline Once the you have “Sent” the instant action to your lead/contact, your notification of the Instant Action will show up on your My Clients - Timeline and in the individual contact card timeline. These events will show Email sent, opened and replied.

Step 4: Video Message. Our second Instant Action, we can create an email with Video capture from our web camera or upload a file.  to send out to the Lead/Contact.

Step 4-A: Fill out and personalize the Video Message to be sent. Next, we have selected the Video Message action, now it’s time to customize it. Fill out the Subject and the body of the message. You can use the CC/BCC field to add additional email address to be carbon copied to this video message. You can use commas to separate email addresses.   Please note: you can use the editor found in the body of the message, to include BOLD, Italics, underline of your text, etc…

Step 4-B: Recording a video.  Now, we have added a subject and body of the message, we can now record a video, using our webcam and internet browser. Click on Record Video.

Step 4-C: Allow access to Webcam (if necessary). Depending on the model of camera and which web browser you use, you might have to allow “access” for Cliently to see and use the Webcam. Click “Allow” to let Cliently access your webcam.

Step 4-D: Ready to record. You should now see the web camera operational and be able to see yourself. Prepare yourself and when ready, click on “Record”. Once completed, click on the stop button. Cliently will process this capture video and add it to the message. Please note: Depending on the length of the video, it might take up to 30 seconds. Please allow the video to process.

Step 4-E: Uploading a video.  Cliently also provides options for you to upload your own video. Please note: Videos longer than 2 minutes will be truncated for only for 2 minutes. 

Step 4-F: Completed and ready to send If you are ready to send the Video Message, Click the blue Button “Send”. 

Step 4-G: Review instant Actions on Global Timeline and My Client Timeline Once the you have “Sent” the instant action to your lead/contact, your notification of the Instant Action will show up on your My Clients - Timeline and in the individual contact card timeline. These events will show Video Message sent, opened, Video Clicked and Video played.

Step 5: Handwritten Note, our third Instant Action, we can create a Handwritten note to be delivered to your Lead/Contact. 

Please note: Handwritten note uses Cliently Credits

Step 5-A: Setup the Handwritten Note Action. 

  1. Personalized Message. First, type in the personalized message you want to be included in the Personalized Note. 
  2. Add a return address: Please fill this out all the fields for the section.

Step 5-B: Completed and ready to send If you are ready to send the Gift, Click the blue Send button.

What happens next? Your Handwritten Note  will be processed by a Cliently Team member, once completed you will be reduced the 5 credits. If they are any problems with the amount of Credits you have in your account, Cliently will contact you!

Step 5-C: Review instant Actions on Global Timeline and My Client Timeline  Once it has been processed by a Cliently Team member, you will see updates in the timeline about this Handwritten note and in My Client Timeline.

Step 6: Postcard, our fourth Instant Action, we can create a postcard to be delivered to your Lead/Contact.  Please note: Postcard uses Cliently Credits

Step 6-A: Customize the Postcard. Next, we have selected the Postcard action, now it’s time to customize it.

Step 6-B: Front Image. First, we need to add a front image. You can drag & drop an image, Click the blue button “Click to upload image” OR you can select an image from one of 35+ Cliently’s free images. In this example, we will upload a customized image. Please note: For the front image, we recommend the picture be (1875px wide by 1275px height).

Step 6-C: Back Image. Next, click on “Back” and now we can add back image. Just like we did for the front image: You can click the blue button “Click to upload image” OR you can select an image from one of Cliently’s free images. For the back image, we recommend the picture be (1875px wide by 390px height). Please note: You can also click on the “Up Arrow” to remove the image option. In this example, we will upload a customized image.

Step 6-D: Text (message) on the postcard and Return Address Finally, you can add a personalized Message “Type Message here”. For Return Address – You can also click on “Add return Address” to be included on the postcard. Once done, click the blue button “Save”. Please note: for the section “Type Message here”, you can only have 11 lines of text.

Step 6-E: Completed and ready to send If you are ready to send the Postcard, Click the blue Button “Send”. 

Step 6-F: Review instant Actions on Global Timeline and My Client Timeline  Once the you have “Sent” the instant action to your lead/contact, your notification of the Instant Action will show up on your My Clients - Timeline and you can track the Estimated Delivery Date and Processed for Delivery Date.

Step 7: Task, our fifth Instant Action, Here you can choose between, LinkedIn, Phone and Other tasks. Using Instant Actions Tasks, is a great way for you to setup reminders of events that need to be completed. 

Step 7-A: Completing the task, once the Instant Actions task has been processed, you can review the task to be completed by accessing the contact card and clicking on “Tasks” button on the right side.

Step 7-B: Review Instant Actions on Global Timeline and My Client Timeline Once you have completed the task, the completed Task will show on your global timeline and in your Individual contact card timeline.

Step 8: Gift, our sixth Instant Action, we can create a Gift card along with a handwritten note  to be delivered to your Lead/Contact.  Please note: Gift uses Cliently Credits

Step 8-A: Select Gift Card. Choose the gift Card from the list provided.

Step 8-B: Setup the Gifting Action. Next you will need to setup the Gift Card:

  1. Load the Card with:  Here you choose the domination for the Gift card and the amount of Cliently Credits it will charge you.
  2. Add a return address: Please fill this out all the fields for the section.

Please note: you can only send 1 GIFT card per each Gift Instant Action

  1. Message: Add a Personalized message that will be handwritten by Cliently to send out to your recipients, up to 200 characters.

Step 8-C: Completed and ready to send If you are ready to send the Gift, Click the blue Button “Send”. 

What happens next? Your gift card will be processed by a Cliently Team member, reduce the credits on your account per the GIFT and we will update! If they are any problems with the amount of Credits you have in your account, Cliently will contact you!

Step 8-D: Review instant Actions on Global Timeline and My Client Timeline Once it has been processed by a Cliently Team member, you will see updates in the timeline about this Gift and in My Clients Timeline.  You will see the tracking number and estimated Delivery date.
