Learn how to create and setup Handwritten notes to send out to your Cliently contacts/leads!

Focus: The focus of this public FAQ/Self Help guide is to provide you an overview and details about building Cliently flows with Handwritten Note Action

What is a Handwritten Note Action and why should I send one? A Handwritten Note allows you to send a one handwritten note and ship directly to your potential leads/contacts. The goal of the handwritten note is to create a super personal touch during the sales process - usually as a closing action or follow-up to an already established conversation. At this point, the lead already knows you by name and may even have had a conversation with you on the phone or in person. Ideally, this would be the encouragement to open the letter - the personalization and the name recognition.

What are Cliently Flows?: A flow is a list of items based upon “actions” that were added. For Example: Send email, wait 1 day, Send Video message, wait 2 days, Send Handwritten Note. Learn more about using Cliently flows by checking out our overview.

How long does it take for the Handwritten to be delivered?  Cliently will be using USPS for sending out Handwritten Note. For United States addresses it takes between 5-7 days. 

What steps can I do to make sure the Handwritten Note is delivered? – Contact’s Address –Before assigning your flows that include Handwritten Note, Double check the physical address found on the contact record! Make sure there is a valid: First Name, Last Name, Address (Line 1 and 2), City, State, and Country.

Step 1: Creating a new Flow with Handwritten Note Action We start by Going to Flows > New Flow.

Step 1-A: Flow Settings Next, give your flow a name and check options for “Stop Workflow” or “unsubscribe”. Click Save.

Pro-Tip: Name your flows accordingly, so you know from the title of the flow what is included in the flow!

Step 2: Handwritten Note Action. Next, we need to add the Handwritten Action. Click on the Direct Action Category, then Select Note action, to add it to your flow.

Step 3: Customize the Handwritten Note Action. Next, we have added the Handwritten Note action, now let’s customize it.

Step 3-A: Setup the Handwritten Note Action. Next you will need to setup the Handwritten Note.

  1. Personalized Message. First, type in the personalized message you want to be included in the Personalized Note. You can type up to 300 characters and spaces for your message. Please use you can use Cliently “Tokens” to auto populate information.

  2. Add a return address: Please fill out all the fields for the section.

Once Done, be sure to Click the blue “Save button”.

Step 3-B: Handwritten Note Action has been completed and ready to be used.

Step 4: Add more Actions… Excellent job, now you have completed your first Handwritten Note action in a flow. You can add other action items in your flow! 

Step 5: Enable the flow to be used… Finally, we have to enable the flow to be used for our Contacts. Click on the on/off slider toggle to enable.

Congratulations, you have setup your first Handwritten Note Action Flow… 

Step 6: Using the flow. Now you have built your flow, now you can add them to your existing contacts/leads. Open the existing contact and add the flow on the right side.

Step 7: Action Analytics. At this time, we do not provide specific analytics for each Handwritten notes action, however, we will let you know when the Handwritten note has been sent to your recipient.

What happens next? Your handwritten note will be processed by a Cliently Team member and we will update you soon! If they are any problems with the amount of Credits you have in your account, Cliently will contact you!

Step 8: Real time view - open contact - Flow Review - Handwritten Note Information. Once it has been processed by a Cliently Team member, you will see updates in the in the flow, when the Handwritten Note has been sent.

Step 9: Timelines You can also see the Timeline notification when the Handwritten note has been sent.
