Learn how to search for contacts and send Instant Actions in Salesforce.

Focus: The focus of this public FAQ/Self Help guide is to provide you an overview and details about searching for contacts sending Instant Actions via the Cliently Salesforce Application. 

What is a Cliently Instant Action?: An instant action is a simple and easy way to communicate with your existing Leads/Contacts in Salesforce. With instant actions, you can send an Email, Video Message, Postcard, Handwritten Note and Gift via this application.

What steps can I do to make sure the Handwritten Notes, Postcard and Gifts are Processed?  - Credits - Before creating your Instant Actions make sure you have enough credits. Cost of Credits for each Instant Action below:

Handwritten Note -Credit Cost:  5 Credits for each handwritten note to send.

Postcards - Credit Cost: 1 Credit for USA-United States Address, OR 2 Credits outside of the United States.

Gifts - Credit Cost: Gift card denomination + 8 credits (for processing and shipping fees). We do not ship outside United States for Gifts.

What steps can I do to make sure the Handwritten Notes, Postcard and Gifts are delivered? Contact’s Address – Before creating your Instant Actions for Handwritten Notes, Postcards and Gifts, double check the physical address found on the contact record! Make sure there is a valid:  First Name, Last Name, Address (Line 1 and 2), City, State, and Country.

Step 1: Integrate your email. In order to send out email and video messages, your Cliently account must be connected to your email. 

Step 1-A: Integrate email. Follow the prompts in order to connect your email.

Step 2: Search for a contact in Salesforce. Using the search function, type in the name of the contact and then click on the contact you wish to send out an Instant Action. 

Step 2-A: Contact Sync’d. Once you click on the contact, the contact will sync with Cliently and will show in the application and you can now send out an Instant Action. Please note: for Company information, it will sync “Shipping Address” NOT “Billing Address”.

Step 3: Email Instant Action, our first Instant Action. Click on”Email” to start the action.

Step 3-A: Setup of email. Next, you will see the email address has been populated for the contact. Enter in a subject and body of the message. When ready, click on Send.

Step 3-B: Email processing and sent. Once you click on the send button, the email message will go away and a notification will come up to let you know the email has been sent. 

Step 3-C: Salesforce Contact Activity History adds notation. On the contact record in Salesforce, you will see a Activity History has been added for this event. 

Step 4: Video Message Instant Action, our second Instant Action. Click on”Video Message” to start the action. 

Step 4-A Setup of email, subject and message body. Next, you will want to add a Subject for the video message and add a message body. 

Step 4-B: Record or upload a video. Next, you will want to record or upload a video to be sent. Please note: you can record or upload a video that is 10 minutes length.

Step 4-C: Video Message processing and sent. Once you click on the send button, the email message will go away and a notification will come up to let you know the email has been sent. 

Step 4-D: Salesforce Contact Activity History adds notation. On the contact record in Salesforce, you will see a Activity History has been added for this event.

Step 5: Direct Mail - Handwritten Note, our third Instant Action. Click on “Direct Mail” then “Handwritten Note” to start the action.  Please note: Handwritten note uses 5 Cliently Credits.

Step 5-A:Setup of Handwritten note. The first step to setup the Handwritten note, is to type in the “Message” that will appear on the note. 

Step 5-B: Setup of Handwritten Note. Next, we must fill out the envelope… Click on the return address to make sure your details are correct and verify the Send Address to the contact. When ready, click on “Send”. 

Step 5-C: Sent for Processing. Once you click on Send, the Handwritten Note will be sent to a Cliently Team member to process the Handwritten Note. 

What happens next? Your Handwritten Note  will be processed by a Cliently Team member, once completed you will be reduced the 5 credits. If they are any problems with the amount of Credits you have in your account, Cliently will contact you!

Step 6: Direct Mail - Postcard, our fourth Instant Action. Click on “Direct Mail” then “Postcard” to start the action. Please note: Postcards uses 1 Cliently Credits for postcards in USA, 2 outside of USA.

Step 6-A:Setup of Postcard… Next, we have to customize the postcard. This is done via the Front and back image.

Step 6-B: Front Image Setup. Cliently offers two ways to add images for Postcards. Upload your own image or select from a template. Please note: Be sure to check “Design Guidelines” for best practices when uploading your own images. 

Step 6-C: Back image setup, add message and review Return address. Next, let’s move over to the back image. Here you can upload your image or use a template. Add in a message body that will appear on the postcard and double check the return address. When ready, click on send!

Step 6-D: Postcard processing and sent. Once you click on the send button, the Postcard will go away and a notification will come up to let you know the Postcard has been sent. 

Step 7: Gifting, our fifth Instant Action. Click on “Gifting” to start the action. Please note: Gift cards cost Gift card denomination + 8 credits (for processing and shipping fees). We do not ship outside United States for Gifts.

Step 7-A: Gift Card Setup - Choose Gift Card… First, we must choose a Gift card that we wish to send to the contact. Select a Card. 

Step 7-B: Gift Card selected, choose “Denomination of Gift Card. Next, we must choose how much the Gift Card is worth. The application will tell you how many credits this will cost. Be sure to verify you have enough credits to send. 

Step 7-C: Message… Next, we can add in a message that will be created when the Gift Card is processed and sent out to your contact.

 Step 7-D: Address and Send… Our last step is to review the return address, update if necessary and click on “Send” to send out the Gift.

Step 7-E: Sent for Processing. Once you click on Send, the Gift will be sent to a Cliently Team member to process the Gift card.

What happens next? Your Gift Card will be processed by a Cliently Team member, once completed you will be reduced the credits for the Gift card and processing fees. If they are any problems with the amount of Credits you have in your account, Cliently will contact you!
